Procedures & Policies

This page ‘Procedures and Policies’ is for the information of current, new and potential clients and outlines Lindsey Jenn’s Online Business Service practices and services. Please note that I do not take on clients with businesses that are obscene or inappropriate in nature. I do refuse clients if I feel the content is not fitting or is against personal beliefs. We must be a good fit in order for me to complete the stated work.

Business Hours

I am available Monday-Friday 8:00 am-5:00 p.m. and Saturdays 10:00 a.m-12:00 p.m. EST These are my standard business hours. I may be contacted through phone and email Monday-Friday only. Saturday business hours are to finish time sensitive work or additional project requests. If a business emergency arises on a Saturday, I will be available through telephone only between those hours. If requesting a Skype or Zoom meeting, those must be scheduled 3 days in advance for proper scheduling.

I do not work on Sundays, major holidays, personal vacations, personal days off, and family hardships such as death, etc. Any time sensitive work will be addressed and completed at normal times or ahead of time if needed. For any social media management/marketing work, I request that you obtain a scheduling platform such as Hootsuite, Tailwind, etc. so that I may schedule those out ahead of time so that your following and engagement will not be interrupted while I’m out of the office. If this is an issue due to budget, I am flexible and willing to work with you on that. If you are local, I also can take pictures of live events and post on social media (including Facebook and Instagram Live).

Chargeable Hours

Any agreed upon services such as hourly projects and set packages fall under chargeable hours/rates. This also includes phone calls, online meetings, etc. Written communication in the form of email, texts, etc., will not be charged.

Communication

Telephone and Email are preferred, but texting and messaging through telephone or Facebook Messenger are acceptable. Telephone/Skype/Zoom calls are always scheduled in advance. I respond to non-urgent emails within 24 business hours.

Programs/Software

On a daily basis, I utilize different programs and software to keep all work organized and flowing smoothly. Here is a list of those programs

  • Trello (Project Management)
  • Box.com (Cloud Storage)
  • Google Docs/Drive
  • Evernote (Notes and Lists)
  • Toggle (Time-Tracking)
  • LastPass (Password Management)

I am able to share these programs with clients and will never be charged for my personal use. If there is a program that you would prefer that I use, I am open to those as long as the client covers any applicable fees.

Time-Tracking

For hourly and package rates, I track my time using Toggle. This tracks all work in one-minute increments. I always round to closest minute on completed work. The software is used for accurate time-tracking.

Monthly Client Packages and Hourly Project Rate

For clients using packages versus per project rate, any unused hours in a month will not roll over into the next month. If there is a circumstance out of your control such as sickness, death of a family member, etc., the unused hours may be used in the following month or will be deducted completely if you feel you cannot use them.  If you need extra hours using a package, the specified rate per hour will just be added for example, say you pick the The Lindsey Jenn Popular for $480 per month at $24 per hour, then extra hours will be at the $24 per hour rate within the package price. Extra hours are only added if requested.

If you desire to upgrade or downgrade your monthly package, please give me 30 days’ notice before starting the new month.

Hourly project rates are $35 per hour. This is for clients not wanting to utilize packages.

Client Status Reports

With a virtual client relationship, I feel that it’s important to check in on a weekly basis whether locally or long distance. For clients choosing the packages, a weekly email update will be sent regarding the status of the projects/tasks as well as an update with amount of hours used in that week to keep you on track. These weekly emails will go out on Fridays.

Packages will also include monthly Skype/Zoom calls to discuss the work going forward.

Invoicing & Payment

All invoices will be submitted via Paypal on the first calendar day of each month. You do not need a Paypal account to submit payments. For clients choosing packages, I require half of the package fee before starting work in the first month to make sure we can work together with confidence and trust. After the first month, all invoices will resume on the first day of each calendar month. If a payment is overdue, I do charge a $10 late fee per day until paid. If there is a continuous delay of 12+ days overdue, services will be discontinued until the payment is received.

Client Referral Bonus

Any client who refers a new client to me will receive $30 off one of their invoices. This discount will be reflected in the new client’s very first payment.

Meetings

Online meetings are preferred via Zoom/Skype. If a client is local to me, we can meet in person. I do charge for meetings if they go over half an hour. If you are a package client, it will be per hour of chosen package. Regular rates will be $35 per hour.

If you would like to meet in person and you are long distance (over 30 miles), I do charge travel fees as well which can be discussed through phone or email.

Holidays & Absence

I am not available for work on the following days:

  • Good Friday
  • Easter Sunday
  • Closed Christmas Eve through New Year’s Day ( I spend time with my family during this time frame)
  • 4th of July
  • Thanksgiving Day and Friday after
  • Personal vacations and personal days
  • Sundays

Clients will receive notice at least 30 days in advance for proper planning and scheduling. I also kindly request that you provide me with the same courtesy if you will be gone for a specific period of time. Due to life demands, I understand 30 days in advance is not always possible. I am flexible and will work with you to help fit your needs.

Privacy & Confidentiality

I value and understand the importance of client privacy. Any information sent to me will never be disclosed, loaned, leased, rented, or even sold to third parties. I will never make your information public without your permission unless I am legally required to do so. All information includes personal data such as contact forms, newsletter subscriptions, logins, etc. is kept confidential.

I strive to help my clients and anyone interested in my services as effectively and efficiently as possible. The data and information I receive will therefore only be used to optimize and/or improve the services that I offer. Some non-personal data about my website visitors is collected automatically; e.g. name of the Internet service provider and web browser, which pages are visited and length of time spent on each page. The identity of visitors remains anonymous unless they manually submit information on the website. All passwords are encrypted and I work with Internet security and virus protection.

Policy & Price Changes

Policy and price changes may occur at anytime. All clients will be notified of these changes at least 30 days in advance before it becomes effective.

Environment

For eco-friendly purposes, I keep all documents in desktop folders and files to cut down on printable paper usage. Invoices, documents, etc., will be submitted via email.

Agreement & Termination

I ask that all clients sign an agreement to protect our work relationship versus a signed contract. After agreement has been read, understood, and signed, work will move forward in a timely manner. The agreement is a non-binding agreement and does not commit to a long-term client/consultant relationship. The client or the consultant is free to terminate the business relationship at any time. In the event of termination, I request a notice of at least 30 days. There will be no refunds without a 30-day termination notice.If you happen to come across an expired link on Lindsey Jenn Online Business Services blog, etc., please contact me via email so that it may be removed or updated.
